Sponsorship Liaison Coordinator (ER/3285)

Successful event agency business seeks a capable Sponsorship Liaison Coordinator to be responsible for managing sponsors across all events as well as providing support to the Conference and Event Managers.

Specifically, you will be responsible for managing sponsors and their deliverables from pre-event processes through to event execution and reporting, produce exhibitor manuals for client events, source and contract venues, liaise with event suppliers, manage registration processing and reporting, provide onsite support, create event documentation, work within budgets, fulfil exhibition manual deliverables to timeline and provide general conference and exhibition logistics.

They manage projects from concept to completion working with the Client Services team to ensure projects are delivered on budget and to our internal and client’s expectations. Internally, our producers are responsible for overseeing and directing the activities of a Production Coordinator on each project, their role is to develop and nurture these staff members to ensure their continued growth in the organisation.

In this role you will manage your allocated projects from concept to completion within budget to the highest possible quality.

You will act as the primary driver of the internal project communications process, not only up and down the team but also across the organisation to stakeholders in all departments.

You will be responsible for overseeing the process of obtaining all 3rd party contracts, insurances and OH&S documentation along with overseeing the production of budgets and project related reports such as timelines, critical paths and strategy papers.

You will effectively manage financial elements including budget development and monitoring, raising of purchase orders in line with PO process, supplier management including negotiating favourable terms.

You will be expected to attend projects as required (in and out of standard work hours) and manage all suppliers, staff and location.

Associate Producer (ER/3261)

This successful event agency business operating in the Australian and Asian markets seeks a resourceful Associate Producer to support the Executive Producer in the planning and delivery of key elements of event projects. You will perform general tasks throughout the life of event projecst with the goal of assuming complete responsibility for specific elements of larger projects and producing some smaller projects in full.

Specifically, you will be responsible for management of event production processes, participating in  creative brainstorms to conceive concepts and ideas and research and budget ideas generated for client proposals, manage event production schedules, assist in the formulation of event project budgets, be a main point of contact for the client during the production process, create onsite paperwork including onsite event schedules, call and run sheets, liaise with suppliers and vendors, maintain event project files, supervise onsite event activity, facilitate client debriefs and feedback and ensure reconciliation and invoicing of event projects.

You will require a minimum of 2-4 years event production experience, within an event agency environment, a good understanding of event components including logistics, budget management, guest/delegate management, venue and technical suppliers etc., along with solid communication and negotiation skills, competency in Microsoft Office and the ability to pick up bespoke internal systems in quick time.

This will entail working with an industry committee, presenting content to members after the event for continuous learning purposes as well as supporting the events and marketing teams on other projects and events as required.
